Client Service Specialist

The Executive Suites Client Service Specialist (CSS) is a key position to the overall performance and success of the Executive Suites, serving as a primary resource in assisting clients and center operations coordinator. This position will ensure that we provide that “wow” factor to our clients and take pride in continually keeping the center “show ready” and prepared for our next guests at all times. The CSS also serves as a resource for clients seeking information, assistance or recommendations; a thorough understanding of all key services, products, and building amenities are essential in the ability to deliver service in an exceptional and timely manner.

Responsibilities and duties
• Process incoming client telephone calls in a professional and timely manner
• Schedule conference rooms, catering, and equipment
• Maintain conference rooms, day offices and training room calendar and daily billing
• Open and close front desk daily
• Receive and send all client and internal packages. Sort, organize, and deliver mail for clients, contact clients when they receive important mail
• Ensure adequate front desk coverage when needing to step away
• Assist clients with outgoing UPS, Fed-Ex, and messenger services and maintain accurate billing logs
• Stock and maintain kitchen supplies
• Assist operations coordinator with preparing new client packets and welcome packets
• Maintain and update client files and as necessary all client contact information, after-hour contact list, and emergency contact
• Consistently welcome all client, vendor, and prospective client walk-ins with a positive, can-do attitude
• Assist clients in obtaining office keys and building access cards
• Explain telephone features to clients as necessary
• Contact building maintenance for all center repairs/maintenance (i.e., temperature control, blown lights, etc.) and keep accurate log
• Code and input variable charges into accounting software
• Provide administrative support to clients when required and maintain accurate billing log

• Working knowledge of Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
• Ability to present/maintain a pleasant and professional appearance and demeanor.
• Ability to communicate effectively and professionally.
• Strong customer service skills, including the ability to remain flexible in high pressure or continually changing situations.
• Experience with multi-phone systems.
• Ability to operate office equipment/technology including computers, printers, fax machines, scanners, postage machines, and copiers.
• Typing ability of 35-40 words per minute.
• 6-months+ administrative experience.
• High school diploma or equivalent.
